Note: A vehicle must be selected before the Quote tab is active.
Select the Quote tab to:
Setup Quote Settings
When using the Quote section for the first time, a red message will popup telling you to setup basic information first. Click Hide error(s) to open the Setup page.
Fill in all three rates. If only one or two rates are used in your company, use the same rate(s) in each box.
From the dropdown box, select which rate to use as the Default rate.
Enter your area’s tax rates for Parts and Labor.
The fields are already formatted for percentages.
Example: Enter 8.12, not .0812.
Check the Tax By Default box(es) if appropriate for your area.
Enter your company’s standard markup percentages over the cost of OE Parts and OE Labor.
The fields are already formatted for percentages.
Example: Enter 5.5, not .055.
Check Print Date & Time (if desired).
In Quote Footer Text, add text to print at the bottom of each quote (if desired).
Example: Quotes are valid for 30 days.
The system defaults to starting with Quote #1. The first quote number cannot be changed.
If your company wants to change the number on the next quote, enter a different number on Next # to Use.
Note: If the number entered in Next # to Use has already been used for a previous Quote, an error message will appear when trying to save the Quote. The new Quote will not be able to be saved until a different Quote # is selected.
You can return to Setup at any time to change this information.
The Saved Quotes window will now automatically display.
From here you can select a Saved Quote, start a New Quote, return to the current Vehicle Information, or select a New Vehicle.
Create a New Quote
On the New Vehicle tab, select the customer’s vehicle.
On the Vehicle Information page that opens, click Quote.
On the Main tab:
Fill in required information, indicated by red font:
Customer’s First Name, Last Name, and Quote Date.
Use the Tab key on your keyboard to move between fields, or click in each field using your mouse cursor.
Fill in optional fields (if desired), indicated by black font:
Quote Name – Example: Fuel Pump Replacement
Service Writer – This will default to the name of the person that the ALLDATA Station License is registered to for the computer in use. This field can be changed to a different name.
Technician – Enter the name of the technician that will be completing the job.
Additional customer contact and vehicle information can be added to the Additional Info tab (if desired).
The additional information will print on the quote, but will not be transferred or saved anywhere else.
To add items to a quote, click on the Add Item drop down menu.
Select Parts/Labor – Lookup to add pre-set parts and labor pricing and information.
Type the name of a part in the Input Search field that appears, then click Go.
Click on the link for the desired part to display the related Parts, Price and Labor Information.
Click Add to place each desired Parts and Labor item on the quote. As you add items, the Sub Totals, Tax amounts and Totals at the bottom will be updated.
To close the Lookup screen and return to the Quote, click the X in the upper-right corner, or the Close button in the lower-right corner.
Select Flat Fee to add a flat fee Price and Description (required fields) for a service item, then click Add.
Example: $35.00, Remove rust from steam outlet on muffler.
Select Note to add general information to the Quote, then click Add.
Example: Customer would like all rusty parts returned.
Select Part to manually add a Part Number, Quantity, Price, and Description (required fields), then click Add.
The Extended Price will automatically reflect any Parts Markup entered in Setup.
Select Labor to manually add Hours, Rate and Description (required fields), then click Add.
Labor Rate 1 will automatically be applied. Click the Rate dropdown menu to change to Labor Rate 2 or 3.
The Extended Rate will automatically reflect any Labor Markup entered in Setup.
To delete a row from a Quote, click on the red X in the desired row.
To print, click Print Friendly.
From the upper-left corner of the Print Friendly screen, select File > Print.
Once the quote is complete and printed, click Save. You will be automatically taken to the Saved Quotes page.
View the List of Saved Quotes
Click on the Quote tab (a vehicle must already be selected for the Quote tab to be active).
Click Saved Quotes in the upper-right corner of the screen.
A list will display of all quotes that are active in the system. Quotes will remain active until they are deleted.
Open, Modify & Delete Saved Quotes
To open a previously created quote, open the Saved Quotes list and click on the underlined Quote # of the desired quote.
To modify a previously created quote, open the quote, make desired changes and click Save.
To delete a previously created quote, open the Saved Quotes list and click on the red X in the row of the quote to be deleted.
